This Privacy Policy explains how Serebro Group Inc., operating as Serebro Health, collects, uses, discloses, and safeguards personal information on behalf of the regulated professionals who deliver psychotherapy and related services through our clinic.
Each clinician associated with Serebro Health is individually regulated by their respective professional College and remains responsible for complying with the Personal Health Information Protection Act, 2004 (PHIPA) and applicable College standards.
Serebro Group Inc. supports these obligations by maintaining PHIPA- and PIPEDA-compliant systems and data protection processes.
Terminology:
- “We, our, or Serebro Health” refers to Serebro Group Inc., operating as Serebro Health.
- “Clinician” means an independent, regulated professional who provides psychotherapy or related services through Serebro Health.
- “Personal Health Information (PHI)” refers to identifiable health information as defined under PHIPA.
2. Information We Collect
We collect only the information necessary to provide safe and effective care and manage clinic operations. This includes:
- Identifying information – name, date of birth, contact details, emergency contact information.
- Health information – presenting issues, session notes, treatment goals, referrals, and relevant history.
- Administrative information – billing records, insurance claims, payment method, appointment details.
- Technical data – limited connection or session data (e.g., IP address) for secure telehealth access and account protection.
We do not collect information unrelated to care or required administrative functions.
3. How We Use Your Information
Your information is used only for legitimate, disclosed purposes, including:
- Delivering psychotherapy and related health services through regulated professionals.
- Managing appointment scheduling, billing, and claims processing.
- Communicating with you about your care, appointments, or payments.
- Coordinating referrals and continuity of care, with your consent.
- Meeting professional, legal, and ethical obligations (e.g., record retention, reporting).
We limit our use of personal information to the minimum necessary to achieve the intended purpose.
We do not sell, rent, or share your information for marketing or unrelated business purposes.
4. Storage and Security
Serebro Health and Serebro Group Inc. maintain strict administrative, technical, and physical safeguards to protect personal health information from loss, theft, unauthorized access, or disclosure.
These safeguards include encrypted electronic records, secure cloud storage under confidentiality agreements, controlled user access, device-level protection, and mandatory privacy and security training for all staff and clinicians.
We regularly audit and update our systems and policies to align with industry best practices and privacy legislation.
Website Analytics and Cookies
Our website may use cookies or similar technologies to improve user experience and analyze website traffic. Cookies are small files stored on your device that help us understand how visitors use our site.

5. Retention and Destruction
Client records are retained for at least 10 years from the date of the last contact, or 10 years after a client turns 18, whichever is later.
Where professional College or association standards require longer retention, those standards will prevail.
After the retention period, electronic and physical records are securely destroyed using industry-approved methods.
6. Access, Correction, and Withdrawal of Consent
You have the right to:
- Request access to your health record.
- Request corrections to inaccurate or incomplete information.
- Withdraw consent for sharing your information, subject to legal and professional limits.
Requests can be made directly to your clinician or to the Serebro Health Privacy Officer via hello@serebrohealth.ca.
We will guide your request to the appropriate regulated professional if necessary.
7. Third-Party Service Providers
We engage third-party service providers only as necessary to support secure clinic operations. All service providers must enter into confidentiality and data-protection agreements consistent with PHIPA and PIPEDA.
Examples include:
- Payment processors.
- Cloud and communication platforms.
- Practice management systems.
Data is stored primarily in Canada or, where necessary, in jurisdictions with equivalent data protection standards.
8. Telehealth and Electronic Communication
All virtual sessions are conducted through encrypted, PHIPA-compliant video platforms. Clients are responsible for ensuring their own environment provides reasonable privacy during virtual appointments.
Electronic communications (such as email or portal messaging) are used for administrative purposes only and are encrypted where they may contain personal health information.
9. Disclosure of Information
We may disclose information only in the following situations:
- With your explicit consent.
- When required by law, court order, or regulatory authority.
- To protect your safety or the safety of others when there is a credible risk of harm.
- As otherwise required under professional College standards.
All disclosures are limited to the minimum necessary information for the stated purpose.
